Race Equipment Policy

1.0                 Purpose

 

This policy establishes the Wabash Valley Road Runners Club’s guidelines and procedures for the request and use of Club owned race equipment.  

 

2.0                 Persons Affected

 

All Wabash Valley Road Runners Club members, organizations, individuals and other groups that wish to use Club race equipment.

 

3.0                 Policy    

 

Wabash Valley Road Runners Club race equipment is primarily to be used for club events. The WVRR Club is a nonprofit volunteer organization and is not in the events management business.  To promote running and walking the Club will allow other groups and individuals to use the club race equipment within the following guidelines:

 

3.1                 The event and organization is a not for profit or all proceeds from the event are donated to a nonprofit charity or organization 

3.2                 The group or individual will make a donation to the WVRR Club for use of the equipment

3.3                 The equipment must be transported and be under the direct control at all times by a Board approved member of the WVRR Club 

 

4.0                 Procedures

 

To use club equipment the group or individual must:

 

4.1                 Contact the Events Coordinator at least 30 days prior to the event to check on availability of the equipment and to allow time to contact volunteers.

4.2                 If the equipment is available and volunteer(s) can be arranged, the Events Coordinator will reserve it for the event.

4.3                 Following the completion and no later than one week after the event, the organization or individual will make a donation to the WVRR club – suggested donation levels: up to 125 participants $75, 126 to 200 participants $100, 201 and above $150

 

5.0                 Responsibilities

                               

                                It is the responsibility of the Events Coordinator to carry out this policy as a                                                         representative of the WVRR Club’s Board of Directors.

 

6.0           Exclusions

 

WVRR does not provide tracking of times or race results. This is the responsibility of the group or individuals directing the event.

 

 

Definitions:           WVRR – Wabash Valley Road Runners Club

                                Club Race Equipment – Timing Clock, finish chute, cones, stop watches, etc.

                                Board Approved Member – individual club member approved by WVRR Board                                                    of Directors to transport and operate club race equipment
